Learning outcomes

After this chapter, you should be able to:

  1. Record a payment that has no emailed invoice, and date that gap.
  2. Tell Mrs. Adeyemi rather than closing the check.
  3. Refuse to create a paper bill so the folder looks complete.

16.1 The earlier rule was about two copies. This finding is about none

Chapter 3 stopped a double payment: the emailed copy is entered once, and the paper copy is marked received. This month's check meets a different shape. A payment is in the record, and the emailed invoice for it is not. He leaves that unmatched payment as an open notebook line. Writing a fresh paper bill would create the document the check just found absent. Kwame notes the gap and the date, and he tells Mrs. Adeyemi, who is accountable. He does not tick the monthly check as clean. He also does not treat the gap as proof that money was stolen. The notebook holds a missing invoice, not a named culprit, an amount, or a bill number.

16.2 Worked example

Lesson table; scroll horizontally to read all columns →

Proposal What it does to the gap Decision
Write the gap and the date, and tell Mrs. Adeyemi Keeps the finding Accept
Draft a paper bill so the folder matches the payment Invents the missing invoice Refuse
Mark the monthly check clean Hides the gap Refuse
"Someone stole it" A cause the check did not show Do not write that

Synthetic case. No amount, supplier name, or bill number is added.

Errors and limits

Leaving the gap open does not stop the café from asking the supplier for a copy later. That request, if made, is a new line in the notebook. This chapter does not start it, and it does not accuse a member of staff.
