Learning outcomes
You will (1) configure lifecycle steps; (2) connect them to the staff list; (3) check completion.
8.1 Joiners
A new dental nurse needs access on her first morning. Tomas agrees that the practice manager adds joiners to the staff list a week before they start, with role, surgery and start date. IT creates the account, adds role and site groups and leaves it disabled until the start date. The nurse sets up her authenticator with a colleague on day one. A predictable process means joiners are productive immediately and nobody is given extra access just to get them started.
8.2 Movers
When a receptionist trains as a nurse, she moves role. Tomas's mover step removes old groups and adds new ones on the same day, with a short overlap only if the practice manager approves it with an end date. He records the change. Without a mover step, staff collect access from every role they have held, and after a few years a long-serving employee may hold far more than any current job needs, which is a common finding in reviews.
8.3 Leavers
When someone leaves, their directory account is disabled at the end of their last day, sessions are revoked, authenticators removed and devices collected. Because dental records and payroll keep separate accounts, the leaver checklist names who disables each. Tomas checks two days later that every item is done. In six months, four leavers are processed; one payroll account is found active a week late, and the practice manager adds payroll to her own leaving-day routine to prevent repeats. Each checklist item has a named deputy.
Worked example
Four leavers in six months; one payroll account was a week late and the payroll step moved to the practice manager's routine.
Synthetic case. Staff and events are synthetic.
Errors and limits
Disabling only the directory account misses systems with separate accounts.
Exercises
- EX029 — Joiner timing. When is a joiner added to the staff list? Rubric: 3 = a week before they start;; 2 = week;; 1 = on the day;; 0 = none.
- EX030 — Overlap rule. When is mover overlap allowed? Rubric: 3 = only with approval and an end date;; 2 = end date;; 1 = always;; 0 = none.
- EX031 — Separate systems. Which systems need separate leaver steps? Rubric: 3 = dental records and payroll;; 2 = two;; 1 = email;; 0 = none.
- EX032 — Late account. What was found late? Rubric: 3 = a payroll account active a week late;; 2 = payroll;; 1 = vague;; 0 = none.
Synthesis
Lifecycle steps tied to the staff list, with follow-up checks, keep access current.
